Schedule: Monday - Friday from 7am-4:30pm.

Job duties:

  • Assist the Maintenance Manager with general clerical work, data entry and parts inventory.
  • Answer vendor phone calls and assist with ordering as needed.
  • Actively work with vendors, mechanics and management as needed.
  • Perform work daily on specialized maintenance software, including the initial setup of the software.
  • Complete special projects as assigned by the Maintenance Manager, and all other duties as assigned.
  • Performs the initial processing of Accounts Payable and maintain the PO log.
  • Reviews the mechanic’s daily work orders for service’s performed and parts that were used
  • Prepare reports as needed and file/record the reports as required.
  • Negotiate with vendors for better pricing and terms.
  • Actively search for and develop stronger vendor relationships.
  • Inventory purchasing, tracking and distribution
  • Maintain parts room in accordance with Company policy
  • Some heavy lifting over 50 lbs may be required
  • All repair order data entry into company maintenance tracking program
  • Warranty tracking
  • Perform fuel and oil readings daily and supply as needed
  • Handle vehicle licensing and permits
  • Maintain accurate mileage reports

Requirements include:

  • 2 – 4 years shop administrative experience
  • Excellent organization and communication skills
  • Must be detailed oriented with a high degree of accuracy
  • Must be able to handle multiple tasks simultaneously while prioritizing workload
  • Automotive/Heavy Duty parts experience a plus
  • Loud shop environment
  • Be able to meet aggressive deadlines and multitask
  • Basic office clerical experience including Microsoft Word and Excel
  • Inventory management preferred
  • Parts or supply purchasing preferred
  • Valid Driver’s license and be able to drive a company truck to pick up parts
  • Perform fuel and oil readings daily and supply as needed
